The Startups APJ Organization is seeking an exceptional Executive Assistant who is eager to work in a fast-paced environment on a growing Global team. This highly visible role will support the Directors in APJ for Startups Sales and Business Development. It will require an individual with flexibility, strong business acumen, and superior attention to detail.
This role requires attention to detail, solid organizational skills, ability to work with remote executives, and the capability to meet tight deadlines while juggling multiple critical requests across global teams and working closely with other Executive Assistants throughout the organization. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. We are looking for someone motivated, with a proven history of high performance and the ability to operate under pressure. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking, self-motivated, and a creative problem solver. A relentless bias for action and effective communication at all levels is a must. This person will have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives.
This position will work closely with other Executive Assistants and/or Operations team members to facilitate key team activities and projects. The ability to work both independently and collaboratively with a strong sense of ownership, bias for action, and customer obsession is highly valued.
Key Responsibilities include:
o Manage complex calendar and scheduling
o Manage domestic and international travel
o Manage expense report coordination and submission
o Manage Distribution lists for Startups APJ region
o Organize, execute, and assist with team activities when requested (Staff meetings; All-Hands meetings (100+/In Person & Virtual); Off-Sites; and team social events)
o Track and help drive completion of key deliverables and follow up on outstanding items
o Manage team space, including moves, new hire location assignments, and re-configurations
o Work closely with the leadership team and our business partners.
o Partner with other Assistants throughout the team and across the company.
o Document writing, editing, and readiness
In addition to core administrative duties, other responsibilities include:
o Project and program management including driving completion of requested deliverables, planning and organizing events, and following up on outstanding items.
